Privacy Policy

ETHOS Administrative Attorney Office collects the following personal information.

• Required: name, contact details (phone/email), and the content of your inquiry
• Optional: case-related documents (passport copy, notices of disposition, etc.)
• Collected automatically: IP address and access time (for security), cookies and visit analytics (Google Analytics, only with your consent)
• Optional (separate consent): email address for newsletter subscription (marketing information)

• Receiving and replying to consultation requests
• Carrying out engaged work and managing cases
• Meeting record-keeping obligations under law
• Follow-up guidance and satisfaction checks

Where the law requires retention, we keep information for that period. Otherwise we generally follow these periods:

• Consultation requests: 3 years from receipt
• Engaged case files: 5 years from closing (may be extended as required by law)
• Accounting records: 5 years (e.g., under the Electronic Commerce Act)

We do not provide your information to others without your consent, except:

• When required by law
• To bodies you have expressly agreed to in advance (licensing authorities, courts, etc.)

To provide our services, we outsource some processing as shown below, and some processors are located outside Korea. Our outsourcing agreements require personal information to be managed safely under applicable law.

Information transferred abroad: the minimum needed for the service, such as name, contact details and inquiry content. Timing: when you use the service. Method: transmission over the network. You may refuse a transfer abroad; if you do, some services (such as email replies) may be limited.

You may exercise the following rights.

• Request access to, correction of, or deletion of your personal information
• Request suspension of processing
• Withdraw consent

Client information is handled under administrative and technical safeguards, including access controls, encryption in transit, and access logs. Information sent to the processors in Section 5 is limited to the minimum needed to provide the service. Automated AI replies are used only when needed, and this policy discloses that processing.

When the retention period (Section 3) ends or the purpose has been achieved, we destroy personal information without delay.

• Procedure: destroyed without delay under our internal policy once the purpose is achieved or the period ends
• Electronic files: permanently deleted in a way that cannot be recovered
• Paper documents: shredded or incinerated
